Compose and reply to messages

This article explains how to use the DutySheet messaging feature to compose, send, read, reply to, forward, and delete messages, including managing recipients and attachments.

You can use the messaging feature in DutySheet to read, compose, reply, reply all, and forward messages, if you've got the right permissions and if your organisation uses the functionality.

Reply, reply all, and forward messages

  1. Click My Messages.

  2. Select the message you want to reply to or forward.

  3. You have a variety of action buttons while reading a message:

Delete

  • To reply to the original sender, click Reply.

  • To reply to all recipients of the original message, click Reply All.

  • To forward the message, including any attachments and details, click Forward.

    šŸ“Œ Note: You can only forward attachments if you've got the permissions to do so.

  • To delete the message, click Delete.

šŸ¤“ Tip: With the reply, reply all, and forward options, the content of the original message will automatically load for you, but you can still modify the contents, including the subject line, if needed. If you're creating a new message, the subject and content will be empty.


Compose new messages

  1. Click My Messages.

  2. To compose a new message, click Compose New.

    • You can also compose a message by pressing one of the action buttons while reading a message.

  3. While you are composing your message, a message will appear in the top right corner, letting you know that the message is automatically saved. this happens every 60 seconds.

  4. To manually save your message, click Save Message.

    šŸ¤“ Tip: If you manually save your message, you can find it under the Draft Messages tab when you want to continue composing it.

  5. Add or modify the recipients of the message using either the To or Bcc buttons, or both.

  6. When you click either the To or the Bcc buttons, a search box appears above the message.

    • Any recipients in the Bcc field aren't visible to the ones in the To field.

  7. You can search for recipients by:

    • Collar number or FIN.

    • Name, including first or last name.

    • Rank. You can search by the abbreviation or the long form rank name.

    • Location.

    • Distribution group.

šŸ“Œ Note: You can only use distribution groups if you have the right permissions. If you can, there will be that option in the search box.

āš ļø Important: If you select a rank or a location, all officers with that rank, or based in that location are added to the To or Bcc list. Be wary of sending messages to everyone in your force.

  1. To remove officers from the To or Bcc fields, click the relevant name.

  2. To add attachments, click Choose Files.

You can only attach one file at a time and we recommend that you wait until you see the file name appear in the list of attachments before you try to upload another file.

Maximum file size is five MBs and must be one of the following file types:

  • MS Office documents: doc, docx, xls, xlxs, xlsm, pps, ppt, pptx.

  • Pictures: gif, jpg, jpeg, tif, tiff, png.

  • PDF.

  • Text files: txt, rtf.

  • Video and sound: mpg, mpeg, wav, mp4, mpa.

  • Compressed: zip.

āš ļø Warning: Don't attach any operational, sensitive, or personal documents on DutySheet emails. If you do, this may result in disciplinary actions taken against you by your force. Speak to your DutySheet administrator for more information about the types of files you can attach.

  1. Use the text editor to compose your message.

    • There is built-in functionality so you can modify some of the formatting of your message, such as clicking B to bold the text. Try the options available to you!

    • Don't put any operationally-sensitive, secret, or top-secret information or data in your message.

  2. Once you've finished composing the message, select the checkbox next to the disclaimer, and click Send Message.

  3. A confirmation message appears once you've successfully sent your message.
