Set up new open event

Follow these steps to create a new open event.

Open events are events that have multiple sessions, can take place on different dates, at different times, or at different locations.

Each open event can have different sign-up deadlines and attendance constraints.

Add event details

Add an new open event from the Supervisors page.

  1. Click Supervisors.

  2. Click Setup New Open Event.

  3. Fill in the event title and event description.

  4. Select event duty type.

  5. Select the relevant locations for the event to be open to. Select either individual locations or click Check All.

  6. To continue, click Enter Dates & Times >.


Add single or repeating sessions

You can either add single or repeating sessions for your event.

  1. Click Insert Date(s).

  2. Select whether you want single or repeating sessions.

  3. Select whether or not you want to email the details of the event emailed to the relevant users.

  4. If you select Yes, the eligible users are emailed that you have created a new open event and are asked to log in to DutySheet.

Single date

Select this to enter single session for the event.

  1. Enter the required details:

    • Briefing location

    • Date

    • Start time

    • Expected end time

    • Sign up deadline

    • Maximum officers

    • Notification on

    • Notification email

  2. Click Enter New Event. You can enter as many single sessions as required.

🤓 Tip: If you've entered details incorrectly, delete the session and enter it again.

Repeating dates

Select this to enter repeating sessions for the event.

  1. Enter the required details:

    • Briefing location

    • Date

    • Start time

    • Expected end time

    • Sign up deadline

    • Maximum officers

    • Notification on

    • Notification email

  2. Enter the event start date, the days on which the sessions occur, and how many weeks it should repeat.

  3. Click Enter New Event.

📌 Note: Because you're entering a repeating event, you don't need to select a sign-up deadline for the event.

You'll need to select the number of days before each repeating session that the sign-up deadline is set.

For example, if you set a repeating event to take place every Friday for the next four weeks and set the sign up deadline to be two days before at 18:00, then the sign up deadline for each session is set to the Wednesday prior at 18:00.

⚠️ Important: Make sure you're happy with the session details and the recurrence settings. If you enter details or recurrence setting incorrectly, you'll need to delete the individual session and enter it again.
