Set up new training event

Follow these steps to set up a new training event.

Use DutySheet's training event recording module to set up new training events for your officers to complete.

You just need to follow four steps:

  • Enter the basic details for the training event.

  • Enter the sessions available for the event.

  • Select the skills, certifications, or outcome results.

  • Review the training event details.

Enter basic details

  1. Enter the event title and description.

  2. Select the duty type.

  3. Select whether the duty is mandatory or not.

    • If you select Yes, users won't be able to hide the training event until they complete one of the sessions.

  4. If your organisation uses Independent Patrol (IP), or Lone Volunteer (LV) options, select whether this training is only available to these officers.

  5. Select or deselect the officer ranks or roles eligible for this training. By default, all ranks are selected so you can deselect those ineligible for the training.

  6. Select the locations this training is open to.

  7. Click Enter Location Details.

📌 Note: Unlike the Events module, where you invite specific users to attend an event, the training events are open to users based in the selected locations.


Enter event sessions

You need to add sessions to your training event.

Users can only attend one of the sessions you enter for a training event, regardless of the number of sessions in the event. Don't set a training event up to repeat on a regular basis such as a monthly refresher, because the user can only attend one of those per year.

For each session:

  1. Select the location.

  2. Select the date.

  3. Set the start and end times for the session.

  4. Set the sign-up deadline.

  5. Set the maxiumum capacity.

  6. Enter the event notification email address.

  7. Click Enter Training Session Details.

🤓 Tip: If you entered an email address in the Notification Email field, that email address gets an email containing a list of event attendees at 05:30 on the day of the training event. You can enter multiple email addresses, separated by a semi-colon.


If the training event spans multiple days, enter a linked session by clicking Insert linked session link next to the first session you enter.

  • Linked sessions must be on or after the date of the original session.

  • Users who attend the original session must also attend the linked sessions.

Enter as many session as required for each training event.

Click Delete if you enter a session in error.


Once you've enter all the required sessions, click Enter Optional Outcome Results.


Skills, qualifications, and outcome results

You can enter outcome results for the training event, such as awarding skills or extending certifications, when users complete the training duty.

To enter skills:

  1. Select the relevant skill, and click Add Skill. It appears in a list. Click the delete button if you enter one by mistake.

  2. Repeat step one for all relevant skills.

To enter certifications:

  1. Select the relevant certification from the drop down.

  2. Select the relevant certification length.

  3. Click Add Certification. Click the delete button if you enter one by mistake.

  4. Repeat steps one to three for all relevant certifications.

📌 Note: A user is automatically awarded the skills and certifications if they attend the last training session of the event and book off from the duty. If they book off automatically, they get the skill or certification when they update their duty on DutySheet.


Review training event details

Review the training event, including the details, sessions, and skills or certifications.

To make amendments or corrections, click the blue back buttons.

To send automatic email notifications for the training event to all users in the relevant locations, select Yes from the dropdown.

When you're ready to publish the event, click Finalise and Publish at the bottom of the screen.

After you publish the event, the users based in the selected locations will see the training event in their list when they log in to DutySheet.


Training administrators list

The training administration list shows all users who have access to the Training Management section of DutySheet.
