Edit or update user details

Follow this guidance to edit or update user details.

From the My Team page, you can edit or update the details of users that report to you.

There are a variety of details you can edit or update for a user, and these vary from organisation to organisation.

⚠️ Important: What you can edit depends on your account permissions, so you might not be able to edit all the details for a user. Please speak to your direct line supervisor if you need to edit details you don't have access to.

Rank

Depending on your rank, you can promote the user to a rank that is one lower than yours.

📌 Note: Only DutySheet administrators can promote to any rank.


Status

If, for example, a user is on LOA or has been suspended from active duties, you can set their status from this option. Setting a user to the status of Suspended blocks their access to DutySheet.


Update Own Duty Description

This is for volunteers only. This gives users the rights to update their own duty description. Disabling this option for users means that only the supervisors can assign duties to their users.


Independent Status

Once a volunteer reaches a certain standard as defined by your own organisation, they can be marked as IP. This is for information purposes only and is only used for reporting.

📌 Note: Even as a supervisor, you may not see this option, as the ability to change IP status is only granted for certain ranks.


Contact Details

You can add, edit, or delete the contact details of your users. These include
their organisational, home and work emails, along with their
and their mobile, home and work phone numbers. Click Ex-Directory if a user doesn't want their contact details visible to other users.


If the DutySheet Email functionality is available for your organisation, the system sends all relevant emails to all email addresses entered against a user, unless you've selected Do Not Send.


Reset Password

If a user forgets their password to access DutySheet, you can reset their password to the default system password. The default system password appears next to the tick box because it uses the user's ID number.


Once a user's password has been reset, at their next logon, they will be forced to change their password. If a user can't login to DutySheet due to too many login attempts, then this will be highlighted in red. Reset their password to enable their account again.


Moving a User

You are able to move the user between any locations that you supervise. Click on the Please click here to move this user link and you will be shown complete list of locations.

📌 Note: The terminology may change from organisation to organisation.


The radio buttons next to locations that you are able to move the user to will be enabled and the current location of the user will be selected and highlighted in red. If the user needs to be moved to a location that you don't supervise, please speak to your supervisor or the DutySheet administrator for your organisation.


Setting Officer Skills

You can set the skills of an officer that apply to them from this screen.
An officer can only set skills which are not highlighted in red. Only a supervisor can set those.


If you think that more skills need to be added, please contact the DutySheet administrator in your force who can modify the list of skills available.


Resigning a User

⚠️ Warning: If you resign a user, all their upcoming duties and event invitations, including any outstanding duties are automatically cancelled.

At the bottom of the user details, you are shown a Resign User button. Clicking on this will take you to a page where user details are shown for confirmation and you are asked to select a resignation reason. This list of reasons is standard across the whole DutySheet Network, allowing for national reporting.


When you click Resign User you'll need to confirm it.
